Office & Employee Experience Associate

We are looking for an Office & Employee Experience Associate to own our part-time in-office experience and rebuild our blended in-person and remote culture. You will own our office operations, ensuring that our employees feel safe and comfortable in the office, while managing all of our office processes. Additionally, you will be an instrumental part of our growing People Team. You will own our cultural initiatives, and also support our team through various administrative processes including the onboarding and offboarding of employees.

This is an important role at Vanta, reporting to our Head of Recruiting and working alongside our People Operations Associate and our Recruiting Team. We’re looking for a passionate self-starter who wants to work in a partially in-person role to help us grow and evolve our company culture.

We take building our team and culture seriously at Vanta, and this role will be instrumental in welcoming our new hires, and building an engaging, trusting work environment for them to be welcomed into. This is an in-person role based in San Francisco.

The role

You will...

  • Serve as our Office Manager, owning all office-related processes:
  • Manage our San Francisco office including building and managing all office processes and policies.
  • Serve as the in-person main point of contact for all office and IT needs and questions, ensuring the IT needs of our office are met.
  • Own the office reopening plan and all COVID-related processes, policies and communications.
  • Manage vendor relationships including Zoom, office cleaners and security, and all other vendors related to office and IT.
  • Build our in-person culture, and build an engaging remote environment, ensuring that our SF-based and our remote employees are equally incorporated into our culture:
  • Build and own our events calendar, including managing all company activities and the wellness program.
  • Strategize, plan and execute on all of our company-wide events and cultural initiatives.
  • Build and own our celebration strategy for birthdays and Vantaversaries.
  • Own office communications, clearly communicating all policies, processes and procedures to the team. 
  • Own key administrative projects and tasks for the People Team:
  • Partner with our People Ops Associate to manage our onboarding program, including scheduling onboarding meetings and Lunch & Learns, sending out Welcome Packages, and managing computer setup and sending.
  • Serve as a key contributor to our offboarding processes, ensuring that all exiting employees are offboarded from all systems.
  • Manage all IT tasks for the Company, including provisioning and collecting/deprovisioning laptops, and maintaining laptop inventory.

You might...

  • Have 2+ years of experience in office management, employee experience, or a related administrative role
  • Be skilled at technical troubleshooting and problem solving, and have basic IT knowledge and experience
  • Be in-office for this role at least 3 days per week
  • Have a successful track owning projects and processes
  • Be passionate about culture-building and employee experience
  • Be very organized and accountable
  • Be able to think on your feet, and shift to changing needs and priorities
  • Be able to demonstrate strong written and verbal communication skills, including confidently communicating to stakeholders across the organization

About us

We started by building the simplest way for a company to prepare for a SOC 2 assessment.

We started with SOC 2 because it was the most common way for an internet business to prove its security. In the course of building for SOC 2, we built out a suite of security tools that every internet business needs: laptop management, account monitoring, employee onboarding and offboarding, cloud infrastructure configuration, policy documentation, and more.

Over time, we’ll add additional certifications (HIPAA, ISO27001) and partner with industry experts to bolster the ways a business’ security is proved. We’re just getting started.

Our goal is to demystify internet security to the average person, equipping beginners with sane defaults and growing them into security-savvy principals who can explain how their company protects customer data and why their business is worthy of your trust.
